Job Description:
The Administrative Assistant is responsible for organizing schedules, managing documentation, and tracking maintenance requests, enabling technicians to focus on their duties. Under supervision, this role performs a range of routine administrative duties to assist division supervisors and the division manager in maintaining efficient and effective department operations. The Administrative Assistant reports to the Maintenance Office Supervisor.
Responsibilities:
- Provide general support to the supervisor and division managers, including researching and compiling data, composing routine correspondence, maintaining schedules and calendars, establishing and maintaining division files, and ordering forms and supplies.
- Perform routine clerical work, such as maintaining logs and regulatory documents, copying and filing documents, typing forms, faxing information, and entering computer data.
- Review invoices and expense reports, verify project costs, obtain appropriate approvals, and ensure timely and proper payment.
- Assemble, compose, proofread, type, edit, copy, file, and/or mail various letters of correspondence, ride downtime reports, payroll reports, attendance reports, punch lists, contracts, purchase orders, work orders, personal forms, invoices, spreadsheets, and other documents.
- Interact and communicate with the immediate supervisor, other park management staff and personnel, and co-workers.
- Receive and review invoices, ledgers, income statements, attendance records, ride downtime logs, requisitions, training documents, etc.
- Respond to inquiries from park staff, outside professionals, and the public regarding department projects.
- Keep the project team informed about project status updates and issues that may impact completion.
- Assist with weekly maintenance scheduling.
Qualifications:
- High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in MS Office (MS Excel and MS Word, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Strong organizational skills with the ability to multi-task.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
